Outreach & Marketing

The Outreach module is expanded by default for marketing agencies, reflecting its central role in agency operations. It serves two purposes: managing your own agency's marketing efforts and orchestrating client communications.

Module Components

Campaigns

Create and manage outreach campaigns:

  • Email campaigns — design, schedule, and send email campaigns to segmented contact lists.
  • Drip sequences — automated multi-step email sequences triggered by contact actions or time delays.
  • Campaign analytics — open rates, click rates, bounce rates, and conversion tracking.

Contacts

Maintain a contacts database separate from your client entities:

  • Prospects — potential clients your agency is pursuing.
  • Industry contacts — journalists, influencers, partners.
  • Segmentation — tag and group contacts for targeted outreach.
  • Import/export — bulk import contacts via CSV.

Lists

Organise contacts into reusable lists:

  • Static lists — manually curated contact groups.
  • Dynamic lists — auto-updating lists based on contact attributes or behaviour.

Automations

Set up automated workflows triggered by contact activity:

  • New subscriber welcome — send a welcome sequence when a contact opts in.
  • Follow-up sequences — automated follow-ups after a proposal is sent.
  • Re-engagement — reach out to contacts who have gone quiet.

Templates

Create and manage reusable email templates:

  • Agency branding — templates with your agency's visual identity.
  • Proposal templates — standardised proposal and pitch email formats.
  • Report templates — monthly performance report delivery templates.

Marketing Analytics

The Outreach module includes analytics dashboards showing:

  • Campaign performance over time.
  • Contact engagement metrics.
  • Pipeline contribution — which outreach campaigns are generating new business.
  • Deliverability health — bounce rates, spam complaints, sender reputation.

Broadcasts

For one-off communications to client segments:

  • Service announcements — notify clients of new service offerings.
  • Holiday notices — office closure notifications.
  • Portfolio updates — share recent case studies or achievements.

Broadcasts are sent via the Broadcasts sub-module and support both email and Client Portal notifications.
