Billing & Time Tracking

AtlasOS provides integrated time tracking and invoicing for tax practices, enabling you to record time against client engagements, monitor unbilled work-in-progress (WIP), and generate professional invoices.

Time tracking

Time entries are recorded against specific entities and can be linked to tasks or compliance obligations. This provides a clear audit trail of effort per engagement.

Recording time

  • Manual entry -- Log time directly from the timesheet view with entity, date, description, and duration
  • Timer -- Start and stop a running timer while working on a task; the elapsed time is captured automatically
  • Task-linked time -- Record time from within a task, which auto-populates the entity and description fields

Rate configuration

Rates can be configured at multiple levels:

The billing engine applies the most specific rate available when calculating invoice line items.

Invoice generation

Invoices are generated from unbilled time entries and can be customised before sending:

  • Select time entries -- Choose which unbilled entries to include on the invoice
  • Add fixed-fee items -- Include flat-rate charges for services not tracked by time (e.g., annual return preparation fees)
  • Apply discounts -- Percentage or fixed-amount discounts at the line or invoice level
  • Preview and send -- Review the invoice before emailing it to the client or making it available on the portal

WIP monitoring

The WIP report shows all unbilled time across your practice, grouped by entity and team member. Use this to:

  • Identify clients with significant unbilled balances
  • Track realisation rates (billed vs. recorded time)
  • Monitor team utilisation and capacity

Recurring billing

For clients on annual retainer arrangements, set up recurring invoices that are generated automatically on a defined schedule (monthly, quarterly, or annually). Recurring billing is ideal for:

  • Annual tax return preparation fees billed monthly
  • Ongoing advisory retainers
  • Provisional tax calculation services
