Case Files & Documents
In the Legal vertical, the document management section is labelled Case Files. It provides matter-centric document storage, AI-powered classification, and secure sharing via the Client Portal.
Uploading Documents
Upload documents to a matter from the matter detail view or from the Case Files section in the sidebar:
- Open the relevant matter
- Navigate to the Documents tab
- Click Upload or drag and drop files
- AtlasOS automatically tags the document with the matter reference and upload date
Supported formats include PDF, Word (.docx), Excel (.xlsx), images (JPEG, PNG), and email files (.eml).
AI Classification
When a document is uploaded, AtlasOS AI analyses its content and suggests a classification:
- Pleadings — summons, particulars of claim, pleas, replications
- Court orders — judgments, rulings, directives
- Correspondence — letters, emails, notices
- Contracts — agreements, mandates, deeds
- Financial — invoices, statements, payment records
- Identity — FICA documentation, ID copies, proof of address
You can accept, modify, or override the AI suggestion. Classification improves over time as the system learns your practice's document patterns.
Folder Structure
Each matter automatically receives a folder structure. The default structure includes:
- Pleadings
- Correspondence
- Court Orders
- Contracts & Agreements
- Financial Documents
- FICA & Identity
- General
Customise the default folder structure in Practice Settings > Document Templates.
Sharing via Client Portal
Share documents securely with clients and counterparties through the Client Portal:
- Select the document(s) to share
- Click Share via Portal
- Choose the recipient (client, opposing attorney, etc.)
- The recipient receives a notification and can access the document through their portal login
All portal access is logged for audit purposes. You can revoke access to shared documents at any time.
Search and Retrieval
Search across all case files using keywords, matter reference, document type, or date range. AtlasOS indexes document content (including OCR for scanned PDFs) to enable full-text search across your entire document library.
