Client Management

As a solo practitioner, your client base is your business. AtlasOS provides comprehensive client management with full support for the entity types common to South African accounting practices.

Adding Clients

Manual Entry

  1. Navigate to Clients in the sidebar.
  2. Click Add Client.
  3. Complete the client record:
    • Legal name and trading name.
    • Entity type (selects which compliance obligations apply).
    • CIPC/PACRA registration number (for companies and CCs).
    • SARS tax number.
    • Financial year-end date.
    • Contact details — primary contact person, email, phone.
  4. Save. AtlasOS auto-generates the applicable compliance deadlines.

CSV Import

For bulk client imports, prepare a CSV with the required fields and import via Administration > Import > Clients. See the main Entity Import documentation for the full import protocol.

Persons and Directors

Each client entity can have linked persons:

  • Directors — for companies and CCs.
  • Trustees — for trusts.
  • Beneficial owners — for compliance with ownership disclosure requirements.
  • Key contacts — the people you communicate with day-to-day.

Persons are managed from the client detail view under the People tab.

Prospects Pipeline

Track potential clients before they become active:

  1. Add a prospect from the Pipeline view under Revenue.
  2. Log interactions — calls, emails, meetings.
  3. When the prospect signs, convert them to a full client with a single action.
  4. AtlasOS creates the client record and generates compliance deadlines automatically.

Client Portal

Each client can be given access to a secure portal where they can:

  • Upload documents (tax certificates, bank statements, invoices).
  • View their compliance status and upcoming deadlines.
  • Access invoices and statements.
  • Complete onboarding forms.

Enable portal access from the client detail view under Portal Access.

Company Registration Forms

For clients requiring company registration, AtlasOS provides onboarding forms that collect:

  • Proposed company name and alternatives.
  • Director details and identity documents.
  • Registered address and business activity.
  • Share structure and memorandum of incorporation preferences.

These forms can be sent via the Client Portal and feed directly into the client record upon completion.
