Asset Lifecycle Management

The Asset Lifecycle module provides internal IT departments with a complete register of hardware assets — from procurement through active use to disposal. Track warranty status, plan refresh cycles, and maintain a clear audit trail of who owns what across the organisation.

Asset Lifecycle sits within the Fleet & Devices sidebar group, alongside the fleet view and security posture modules.

Hardware Inventory

Maintain a comprehensive register of all IT assets:

  • Desktops and laptops — make, model, serial number, specifications.
  • Servers — physical and virtual server inventory.
  • Network equipment — switches, routers, access points, firewalls.
  • Peripherals — monitors, printers, docking stations, headsets.
  • Mobile devices — phones and tablets issued to staff.

Each asset record includes:

Warranty and End-of-Life Tracking

Configure alerts for upcoming warranty expirations and end-of-life dates:

  • Warranty alerts — receive notifications 30, 60, or 90 days before warranty expiry (configurable).
  • End-of-life alerts — plan replacements ahead of scheduled retirement dates.
  • Dashboard indicators — the fleet dashboard surfaces counts of assets nearing warranty expiry or end-of-life.

Refresh Cycle Planning

Plan hardware refresh cycles based on organisational policy:

  • Define standard lifecycle durations by category (e.g. laptops: 3 years, desktops: 4 years, servers: 5 years).
  • View upcoming refresh requirements by quarter and department.
  • Estimate procurement budgets based on replacement counts and average costs.
  • Track refresh completion — mark assets as replaced and link to successor devices.

Procurement Cost Tracking

Record procurement costs against each asset for budgeting and reporting:

  • Per-asset cost — capture the purchase price at time of registration.
  • Department cost rollup — view total asset value by department.
  • Category cost analysis — understand spend distribution across device categories.
  • Annual spend reporting — track procurement expenditure over time.

Asset Disposal Workflow

When assets reach end-of-life, follow a structured disposal process:

  1. Mark for disposal — change asset status to "Pending Disposal."
  2. Data sanitisation — record that data wiping or drive destruction has been completed.
  3. Disposal method — log whether the asset was recycled, donated, or destroyed.
  4. Disposal date — record the date of final disposal.
  5. Certificate of disposal — attach documentation for audit purposes.

Disposed assets remain in the register with full history for compliance and audit trail purposes.
