Filings & Returns (Document Management)

In the Corp Sec vertical, the Documents sidebar group is relabeled to Filings and the item is labeled Filings & Returns. This reflects the secretarial workflow where documents are primarily statutory filings rather than general client files.

Document Categories

AtlasOS auto-creates document folders for each company entity:

FolderTypical Contents
IncorporationCertificate of Incorporation (CoR 14.1), registration confirmation
MOIMemorandum of Incorporation with version history
Board ResolutionsSigned resolutions, special resolutions
CIPC FilingsAnnual return receipts, COR39 confirmations, name change confirmations

Version Control

  • All documents maintain full version history
  • Previous versions are archived but accessible
  • Final resolutions are locked — they cannot be edited or overwritten after sign-off
  • Upload dates, file sizes, and uploader details are tracked

Secure Sharing via Client Portal

Directors can access their company's documents through the Client Portal:

  • Directors see only their company's filings
  • Download only — directors cannot edit or delete documents
  • Upload capability for directors to submit signed resolutions or declarations
  • Audit trail of every download and upload

AI Document Classification

When enabled, the AI document agent auto-classifies uploaded files:

  • Recognises CIPC forms, resolutions, annual returns, and MOIs
  • Files are auto-sorted into the correct folder
  • Classification can be overridden manually

Filing receipt upload

After submitting a filing to CIPC or PACRA:

  1. Navigate to the relevant compliance obligation in the Filing Deadlines calendar
  2. Mark the obligation as Filed
  3. Upload the submission receipt — it's auto-linked to the obligation and stored in the entity's CIPC Filings folder
